Job Details:

Associate I, Accounting will provide administrative and financial support services.  This position works closely with the Staff Accountant and other accounting personnel, internal departments, and external parties.  Responsible for timely and accurate entries in accounting software and assisting in financial reporting.

Duties & Responsibilities:

  • Process A/P
    • Route invoices to purchasers for approval, verify GL codes, and enter in accounting software to be posted
    • Request monthly statements from vendors
    • Review credit card purchases
    • Maintain vendor files
    • Collect and maintain W-9 and COI files
    • Mail A/P checks
    • Maintain prepaid expense and WIP files
    • Assist with 1099 preparation
  • Process A/R
    • Post cash receipts
    • Maintain client information in accounting software
    • Assist with emailing invoices to clients and/or uploading via third-party payment sites
    • Assist with tracking of Aged Receivables, invoicing late fees, etc.
  • Assist with asset tracking, leases payable, depreciation and amortization schedules.
  • Assist with preparation of reports for vendors, clients, and various other third-party service providers
  • Assist in ledger accounts review
  • Assist in budget process
  • Filing of A/P, A/R, journal entries, banking files and other accounting documents
  • Other duties as assigned

Education and/or experience

Associates degree or minimum of one to three years accounting experience, or combination of both required. Relevant licenses and certifications a plus.
